Cancellation Policy
Your appointment time is reserved specifically for you. Providing adequate notice when you need to cancel or reschedule gives us an opportunity to offer the appointment to another client who might be waiting for care.
We understand that plans change and unexpected circumstances occur. If you need to change your appointment, please contact Praxoria as early as possible.
Cancellation Fees
More than 48 hours’ notice
No cancellation fee applies. You are welcome to cancel or reschedule your appointment.
Between 24 and 48 hours’ notice
A cancellation fee of 50% of the scheduled appointment fee applies.
Less than 24 hours’ notice
The full scheduled appointment fee applies.
Non-attendance
If you do not attend your appointment and have not contacted us beforehand, the full scheduled appointment fee applies.
Medicare and Private Health Rebates
Medicare and private health insurance rebates do not apply to cancellation or non-attendance fees because a psychological service has not been provided.
This means any cancellation fee is payable by you and cannot be submitted to Medicare or your private health insurer for a rebate.
Concession Appointments
For clients accessing a reduced concession fee, any applicable cancellation fee will be calculated using the concession consultation fee rather than the standard consultation fee.
Unexpected Circumstances
We recognise that illness, emergencies and other circumstances outside your control sometimes make attending an appointment impossible.
If something unexpected has happened, please contact us as soon as you reasonably can. Cancellation fees may be waived at Praxoria’s discretion where exceptional circumstances apply.
Repeated Late Cancellations or Non-Attendance
Regular attendance supports continuity of psychological care and allows appointment times to be managed fairly for all clients.
If late cancellations or missed appointments occur repeatedly, we may discuss whether your current appointment arrangements remain suitable. This might include changing your usual appointment time or frequency, or reconsidering ongoing bookings.
Telehealth as an Alternative
If you are unable to attend an in-person appointment but are still able to participate in your session, changing your appointment to telehealth may be an option.
Please contact us before your scheduled appointment to discuss whether telehealth is appropriate.

You can cancel or reschedule through the client portal where this option is available, or contact Praxoria directly.
Please provide as much notice as possible.
